We are recruiting a part-time fundraising, marketing and communications assistant to provide marketing, communications and fundraising support to the Fundraising, Marketing & Communications Manager, based either in our Newry or Lurgan offices.

JOB DESCRIPTION

Salary:                        £21,000 per annum, pro rata
Hours:                        25

AREAS OF RESPONSIBILITY:

  • To support the Fundraising, Marketing & Communications Manager in the co-ordination of all fundraising, events, and volunteer activity
  • To develop and deliver on the communications plan in support of the objectives of PIPS Hope & Support
  • To assist with the effective communication of the success of organisational activity, both internally and externally
  • Assist and support all fundraising events as required including, attendance, booking venues, target mailings, booking delegates, arranging catering and financial transactions.
  • To count and record all monies resulting from fundraising activities.
  • To manage the department’s fundraising filing systems, including online and paper-based files and to co-ordinate mailshots
  • To receive and screen telephone calls.
  • To act as a point of contact for the fundraising department and ensure that information requests are handled efficiently
  • To be responsible for the monitoring and management of fundraising content on the website and social media channels
  • To promote and contribute to good internal and external communications
  • To cultivate and maintain effective external relationships including those with private businesses, government officials, sponsors, funding bodies, MLAs, local community representatives and other relevant stakeholders
  • Circulate information as requested.
  • To liaise with suppliers as authorised e.g., book photographers, organise printing of stationery
  • Circulate and draw-up press releases.
  • Represent PIPS Hope & Support as appropriate
  • Undertake any other reasonable administrative task that may be assigned, that is consistent with the nature of the job

PROCESSING INFORMATION AND REPORTING:

  • To provide statistical information as directed by the Fundraising, Marketing & Communications Manager and Chief Executive Officer in the agreed format
  • To oversee and deliver social media messages approved by the Fundraising, Marketing & Communications Manager, and the CEO

GENERAL DUTIES:

  • To take part in supervision, appraisal, and training as identified through PIPS H&S’s staff learning and development process
  • To comply with all policies and procedures within the organisation.
  • To ensure that PIPS Hope & Support ’s fundraising and communication activities are undertaken within the law and in compliance with the new Charity Commission for Northern Ireland, Regional Fundraising Regulator, and data protection regulations
  • To engage in continuing professional development.

FLEXIBILITY:

This job description is intended to provide a broad outline of the role. the post holder may be required to perform other duties commensurate with their competence and will be required to attend events in the evening and/or weekends with TOIL provided.

The post holder must maintain the confidentiality of information about clients, team members and other health service business and always meet the requirements of the Data Protection Act (2018) and General Data Protection Regulation (2018).

The work of PIPS Hope & Support is over confidential nature and any information gained by the post holder in their role must not be communicated two other persons except were required in the recognised course of duty.

USE OF TECHNOLOGY:

PIPS Hope & Support Increased use of computer technology. Most team members (both clinical and non-clinical) should expect to use the salesforce automated information systems and their work to improve quality and coordination of services, to ensure faster and more certain communication within the organisation. necessary training will be provided.
 

PERSON SPECIFICATION

This person specification lists the requirements necessary to perform the job. ESSENTIAL CRITERIA:

  • 5 GCSE A-C including Maths & English (or equivalent) AND at least 1 years’ proven track record working within a fundraising / communications environment, demonstrated by way of example on the application form.
  • Experience in using a range of computer packages including MS Office, particularly Word, PowerPoint, and Excel, demonstrated by way of example on the application form
  • Experience of developing and editing website & social media content, demonstrated by way of example on the application form
  • Experience of using a range of social media platforms for business purposes, demonstrated by way of example on the application form
  • Experience of achieving targets, demonstrated by way of example on the application form
  • Willing to undertake an enhanced disclosure check via Access NI before commencement of employment
  • Possess a current full driving licence, valid in the UK and ROI, have access to a car/form of transport to carry out the duties and requirements of the post without reliance on public transport
     

DESIRABLE CRITERIA:

  • Qualification in Marketing, Business Administration or similar
  • Able to demonstrate knowledge of the community/voluntary sectors
  • Experience with Adobe Design Packages
     

SKILLS AND KNOWLEDGE:

  • Arranging meetings involving people from different organisations - including coordinating outlook diaries, booking meeting rooms and sending out agendas on papers.
  • Contributing to the development of administrative or office procedures, communicating effectively with a diverse range of people.
  • Managing personally sensitive information.
  • Able to work as part of a team.
  • Able to write clear meeting minutes or notes.
  • Advanced skills in using Microsoft Word software to create attractive and well laid out documents and presentations. able to use Microsoft Outlook for diary, workload, and email management. fast and accurate keyboard skills.
     

OTHER REQUIREMENTS:

There may be some requirement of travel to other PIPS Hope & Support sites to attend meetings or provide cover for other roles.
